Time Trial Meet Tomorrow – Important Details

Otter Families,

This email and the attached slideshow contain essential information about our Time Trial Meet tomorrow. Please review carefully to prepare yourself and your swimmer(s). This practice or "mock" meet, for our team only, helps new swimmers and parents understand meet operations.

Key Information

Parking

  • Park at Stanley Elementary; no parking at the pool. Reserved spots are for specific volunteers only.
  • Note: Parking along Fry Road may result in ticketing.

Arrival Times

  • Swimmers: Check in with a coach at the volunteer table starting at 4:30 p.m. Warmups begin at 5:00 p.m.
  • Volunteers: Check in at your designated times. Please ensure you have completed Athlete Protection Training. If incomplete, you will not be able to volunteer.
  • Swimmers not signed in by 5:00 p.m. will be scratched from events unless you’ve notified the Coach Liaison ([email protected]) about a late arrival.
  • Write your swimmer’s name with a Sharpie on their upper right back/shoulder for easy identification.

Check-In/Check-Out and Conduct

  • Check-In: Sign in swimmers with a coach at the table near the front gate upon arrival.
  • Check-Out: Swimmers 10 and under must be signed out with the tent parent after their last event. 6U swimmers must be signed out immediately after the backstroke event.
  • Swimmers not following tent parents’ or ready bench runners’ instructions may be asked stay with their guardian. The guardian will then be responsible for checking in for events with the assigned ready bench runner at appropriate times. Please discuss proper behavior with your swimmer beforehand.

Team Shirts & Button Orders

  • Collect team shirts and caps near the check-in table on Friday if not received at practice.
  • If you ordered buttons on Picture Day, these will also be available near the check-in table; other photo orders will arrive later.

Seating During the Meet

  • Set up seating outside the pool gates.
  • 6U Parents: Sit near the 6U tent (see map in attachment) to assist your swimmer or tent parents if needed.
  • A viewing area inside the gates is available to watch your swimmer’s event and heat. Please be courteous and only use this area during your swimmer’s heat.
  • Feel free to bring your own shade (e.g., pop-up canopy), but set it up outside the gates.

Heat Sheets

  • We will not be emailing out heat sheets this year, as these are finalized at the meet. You will be able to use Swimtopia to see your swimmer’s events. 

Concessions

  • Cash only! Options: Chick-fil-A sandwiches, pizza, candy, chips, Gatorade, soda, water.

What to Bring

  • Swim caps, goggles, hair ties (for long hair)
  • Towels (bring extras)
  • Folding chair for your swimmer
  • Bug spray, sunscreen
  • Healthy snacks (e.g., fruit, bars, veggies, crackers), drinks, cooler
  • Water (essential for hydration)
  • Electronics (at your own risk; label all belongings)
